Terms
Terms of service
Last updated 3 October 2026
These terms apply to hotels, B&Bs, guesthouses and anyone else who creates a guide with Welcome Notes. They're written to be read. By creating an account, you agree to them. If you're a guest reading a guide, you don't need to agree to anything: the guide's content comes from your host.
1. About us
Welcome Notes (www.welcomenotes.co.uk) is run by Charlotte Neryd, a sole trader based in the United Kingdom ("we", "us"). You can reach us using our Help & contact page.
2. Your account
- Welcome Notes is for businesses and property owners, not for personal consumer use.
- You must be at least 18, and if you sign up for a business, you must be allowed to act for it.
- Keep your password private. You're responsible for what happens in your account, so tell us straight away if you think someone else has used it.
3. Your guide and your content
- It's yours. You keep ownership of everything you add: words, photographs, recommendations and details. You give us permission to store it, show it to anyone with your guide's link or QR code, and make copies needed to run the service (backups and resized photographs, for example).
- Keep it accurate. You're responsible for what your guide says, including opening times, safety information (such as tides, swimming and walks), prices and contact details. Please check it regularly.
- Only use what you're allowed to. Upload only photographs and text you own or have permission to use.
- Nothing unlawful or harmful. Don't use Welcome Notes for anything illegal, misleading, offensive or that infringes someone else's rights. We may remove content or suspend a guide that does.
4. Done-for-you guides
If we write and set up a guide for you, we'll agree what's included before we start. The one-off setup fee is £800. Once we hand the guide over, it is yours to keep up to date, as in section 3. Later refreshes are quoted separately. Photography we supply is licensed for use in your Welcome Notes guide.
5. Prices and payment
- Each published guide costs £49 a month. Drafts are free, so you pay only for guides guests can open.
- Your first plan starts with 14 free days. We ask for a card at the start; if you cancel before the free days end, you aren't charged.
- We'll always show you the price before you publish, and bill you monthly in advance. Prices are in pounds sterling.
- If we change our prices, we'll tell you by email at least 30 days before the change applies to you.
- If a payment fails, we may unpublish your guide until it's sorted out.
6. Cancelling
You can unpublish a guide or close your account at any time. Your guide stays live until the end of the month you've paid for, and we don't refund part-months. We may close an account that breaks these terms, telling you why, and with notice where we reasonably can.
7. Keeping the service running
We work hard to keep Welcome Notes fast and available, but we can't promise it will never be interrupted, for example during maintenance or an outage at one of our providers. We may improve or change features over time, and we'll tell you before removing anything important you rely on.
8. Responsibility
- We're not responsible for the content of your guide, or for the places, businesses or activities it recommends.
- We're not liable for indirect losses, such as lost profits, bookings or goodwill. Our total liability to you in any 12 months is limited to the amount you paid us in that period.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law.
9. Privacy
How we handle your information, and your guests', is set out in our privacy notice.
10. Changes and the law
We may update these terms. If a change matters, we'll email you before it takes effect. These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
